Occasionally you or your RE admin will want to sync the information held in SmartSOCIAL with RE. This can be whenever you wish as SmartSOCIAL will continue to function and will know all the latest profile links for each record.
The import adds the LinkedIn Profile links onto the records in RE and can also add additional data if you choose to do so.
Create the import
The file you have configured to hold the LinkedIn Profiles is in an import ready format:
- Constituent ID
- Phone:
- Phone number
- Import ID
- Phone type
- Is Primary?
You can run an import with this information in RE through Admin > Import and select 'Constituent Phone' as the import type.
Tab 1 General: You set options as below (selecting your LinkedIn Profile CSV file at step 1), this will import or update your LinkedIn Profiles in RE as needed ensuring you don't get duplicate links added to your constituent records.
Tab 2 File Layout: The file is a CSV file and all options should be OK as defaulted by RE:
Tab 3 Fields: You need to map your CSV file's fields to the correct fields in RE:

Tab 4 Summary - Set up the options as you see fit, we usually suggest at least configuring an exception file:
Then Save the Import for later use named something sensible i.e. 'SmartSOCIAL LinkedIn Profile Import'
Run the import
We suggest you do this at the end or beginning of the day before anyone starts up SmartSOCIAL RE so that there are no changes being made as you progress. Just let your users know they should not run it immediately.
IMPORTANT: Then run the Export!
Once you run the import we suggest you then run the export process again to get all the latest info from RE out to all your SmartSOCIAL RE users
as detailed here and if you followed those instructions (to the letter) it will be found under 'Export' > 'LinkedIn Profiles for SmartSOCIAL', just run it again.
Importing Business and other LinkedIn profile information
You may, due to your data protection and privacy statements, be able to import other information from the SmartSOCIAL file. When users click 'Store URL' we also store basic profile information in the CSV file along with their Phone number. This is there for you to import to RE as you see fit.
If you are going to do the import we do suggest opening the file in Excel first and doing the following:
- Sort the file by 'CnPh_1_01_DateChanged' descending
- Then remove any duplicate rows using the Excel 'Date; > 'Remove Duplicates' and selecting only the CnBio_ID column
- Save the changes and now import to RE using standard RE import or other import tools.
You may also wish to remove other lines such as lines that have not been updated since the last export from RE so you are only working on the changed entries.
