SmartOUTLOOK and SmartGMAIL - Enable search by email address

A relatively new feature in our products is the ability to search by email address when the action is added to Raiser's Edge. This is particularly useful when you have a version of RE that supports fuzzy search i.e. 7.94 or later. In these editions the search will be by first name, last name and email address, RE ranking them based on it's logic.

To enable this feature is actually very simple.

1. Right click on the tray icon of SmartOUTLOOK and select Settings




2. Tick 'Use email address' under the Advanced options in the right hand column



3. Save the settings and try and record an email

At this point it may just work but if, at the end of recording the email, the search dialog comes up and the email address is put into the wrong field in your constituent search screen you may need to adjust things i.e. below the email has gone in three fields above Email:



So in this case it has been put in an earlier field i.e. higher up the search fields. We can cope though!

Go back to SmartOUTLOOK settings and the box below the 'Use email address' field and increase the number by three. By default it is 12 but often nowadays clients use 15, it varies depending on which fields are enabled in your RE and which version of RE you use.



Save and try again - if it doesn't go in the right field adjust the number (lower moves it up the fields, higher moves it down). Eventually you will get the right number and can pass this on to your colleagues so they don't have to work it out themselves.
